Edenred is a fintech company that provides digital voucher services.


In this project, we developed a unified list of order, voucher and inventory to let the operation & sales team keep track of the real time status of the modification file processing progress.

My Role

& Team


I worked as a UX/UI designer in the team. In this project, we had PM team and design team collaborate closely. I led the design and oversaw the final development of the UI.


Problem


Originally we had the pages for order, voucher and inventory, specifically for operation people or sales to manage the order and products, but after our product being launch for a while, the operations have came up the needs to create the bulk order, modify the bulk voucher, or have multiple actions of inventory in one time.

How might we let the operation people to modify multiple orders, vouchers and inventory in one time?


Solution


We decided to have a unified list of orders, vouchers, and inventory to let the operation & sales team keep track of the real-time status of the modification file processing progress.

Planning


- On the design, we need a place for uploading the Excel (bulk) files and tracking the process of the updates at different stages.


- We used the idea of the previous version of the pending order list as the base to design

User Needs


After discussing with the teams, we have concluded the functions users want from the interface: 


Filter

Be able to search and find the file they upload


Status

Be able to see the teal time status of the file


Error preview

Be able to see the error of the file and modify them



  • For developers to develop easily without having any extra effort, we decided to have a unified design, and maintain the same UI components for the batch order, voucher and inventory pages.
  • For the different stages of the batch file, the technical part, we have discussed with PM and back-end developers together, to talk about what will be in the stages to process the file; then we have come up with these stages:

Ideation

  • When coming out with the design draft, we also discussed with the sales and operation team to see what info they needed, so we prioritized them on different columns

  • Some details pages added to the design: the error preview page for operations to check and re-upload the file


Customization & Adjustment

  • Specifically for the order list, the procurement team needed to see every single batch item on the list for managing the inventory, to maintain the unified design, we added the tab for “batch order item” and followed the same design to create it but added the few more features

  • - Action to pause/ cancel demand 
  • - Failed/ cancel reason
  • - Beneficiaries info

 

Challenges

Since this feature was an urgent demand, our PM team didn't have time to write the user story and define the detailed needs; the design team and the PM team just started discussing and planning the UI while describing the scenario at the same time, but we were still able to finish the final design and develop it.

Takeaway & user feedback

After the design was done; we demoed with the operation/ sales from different BU, they were good with how the design works, and said that these stages break out is clear for them.


They thought that this would solve their problems and reduce their time on creating orders/ modifying vouchers/ inventory one by one.


This launch was just the MVP scope, we are hoping that we will be able to add some more features in the future scope, ex: notify the creator when the file has been done.
